PUBLIC RELATIONS
Information produced by an organization and disseminated to membership, sponsors, or clients, or to the media in an attempt to gain favorable editorial coverage or inform clientele about updates within the organization. Included in this category: newsletters; press releases; annual reports; and periodical publications. Media entered into the PR categories MAY NOT be entered into the magazine category. Place each entry into a labeled folder with 2 copies of entry form. 1. Newsletter: Submit three separate newsletters. Judging will be based on overall content, appearance and readability. 2. Promotional material: Submit one item. The category includes fliers, posters, special projects, brochures and advertisements. 3. Annual reports: Submit one report. 4. Press release writing: Submit one press release on a news item or feature story relating to any organization. Press releases promoting products are ineligible. 5. General writing: Any article appropriate for the target audience that does not fit in another category. Judges will consider quality of reporting and writing. 6. Best PR publication cover: Submit one cover. Judges will consider overall impression, unity of images and typography, art, design, overall impression for readers. 7. Best PR publication: Submit one publication. Entry will be judged on design, content, photography and overall excellence.
RADIO
Each entry must be on a separate CD. Each CD should be clearly labeled with the name, station location, category, category number, producer and entry title and placed inside a manila envelope with entry forms. Send entries in paper envelopes only. No jewel or hard cases, please.
Place each entry into a labeled folder with 2 copies of entry form. 8. General news: General reporting on any topic. 9. Sports reporting: Any sports story or feature, including play-by-play. 10. Feature: A report included in a newscast that is considered to be a relief or contrast to news reporting. 11. Investigative: Must be a part of a regularly scheduled newscast or public affairs program. Entry must be more than enterprise reporting or details that already were breaking. 12. Interview/talk show: Any topic. Limit entry to no more than one hour. 13. Newscast: Best overall radio newscast. Limit entry to no more than one hour. 14. Best reporting portfolio: Submit five stories by one reporter that were broadcast within the contest period. Judges will determine an all-around best reporter based on reporter�s ability to gather information and report clearly.
TELEVISION
Broadcast entries must be material that originated locally and was produced during the contest period. Each video entry must be on a separate DVD, labeled with the entrant�s name, station name, title of entry and category name and number. NO VHS TAPES. Send entries in paper envelopes only. No jewel or hard cases, please. Place each entry into a labeled folder with 2 copies of entry form. 15. General news: General reporting on any topic. 16. Spot news: Reporting of a spontaneous occurrence from the scene. Includes breaking news of any kind, including weather reports. 17. Special program, documentary or series: Special newscast, program or documentary produced on a single topic. 18. Feature: A report included in a newscast and considered a relief or contrast to news reporting. 19. Human interest: Story featuring people that arouses emotion in the viewer. 20. Investigative reporting: A piece or series on one topic. Entry must be more than a simple enterprise reporting of details that already were breaking. 21. Sports reporting: Report of a sporting event or sports topic. Limit play-by-play reports to 30 minutes or less. 22. Weather reporting: Entry can be a weathercast from a regularly scheduled newscast or coverage of a weather event. 23. Newscast: Submit one regularly scheduled newscast. Indicate broadcast times. 24. Videography: Submit one example. Judges will reward technical merit in the capturing of moving images on electronic media. 25. Best reporting portfolio: Submit five stories by one reporter broadcast within the contest period. Judges will determine an all-around best reporter based on reporter�s ability to gather information and report clearly.
ONLINE
Open to all organizations. All entries must be in-house work. Place each entry into a labeled folder with 2 copies of entry form. 26. Online writing: Content should be produced by a staff member and published only on the Web. 27. Multimedia: Any project that utilizes a combination of content platforms. 28. Blog: An individual Web log with regular postings. Submit 3 postings. 29. Best website: Entries will be judged on original content, design, creative use of technology, ease of navigation and originality. Submit the URL and a letter detailing how the site originated, how often it is updated, extent of interactivity and the number of visitors a day. Special features should be explained. 30. Best breaking news coverage: Online coverage throughout the period of a breaking-news event. Provide screen shots or URLs from the first hours after the event plus updates and additions. 31. Online video journalism: Entries should consist of online-originated video journalism crafted specifically for the Web, and may include a single story or up to three examples from a series on a single topic. Slideshows in a video format are not eligible.
MAGAZINES
A magazine is defined as a printed periodical produced at least quarterly for the general public, delivered either by subscription, on newsstands, or in boxes or racks. Included in this category: city, state and regional magazines; neighborhood magazines; and general interest consumer or business to business magazines. Media entered into the magazine categories MAY NOT be entered into the PR category.
PLEASE NOTE: Publication name and date must be visible in folios.
Place each entry into a labeled folder with 2 copies of entry form. 32. Feature writing: Any feature appropriate for the magazine�s audience. Judges will consider quality of writing and relevance to the audience. 33. News writing: Article or package judged on the quality of reporting and writing. 34. Column writing: A single column on any topic by an individual. 35. Profile: A story featuring one or more individuals. Judges will consider quality of writing and relevance to audience. 36. Reader service: Any feature that offers practical information to the reader in an easily digested format. Judges will consider overall concept, delivery of information and the reader experience. 37. Feature photography: A single photo or photo spread where the presentation of the photographer has enhanced original subject matter. Include a brief synopsis. 38. Photo story/essay: A group of photos that tell a story relating to any topic. Include a brief synopsis. 39. General photography: A single photo or photo spread. Include a brief synopsis. 40. Page design: Article or package judged on the quality of design and layout. 41. Illustration/graphic: Originally produced illustration or graphic by an individual. Include accompanying story. 42. Cover: Judges will consider overall impression, unity of images and typography, art, design and overall impression for potential readers. 43. Best reporting portfolio: Submit three magazine stories by one reporter published within the contest period. Judges will determine an all-around best reporter based on the reporter�s information-gathering, writing style and clarity of reporting. 44. Best magazine: Submit one issue. Entry will be judged on design, content, photography and overall excellence.
NEWSPAPER
Newspaper entries may be tear sheets, photocopies or electronic printouts, as long as publication name and date are visible. Each entry must be securely fastened together and include story jumps. Each entry must be enclosed in a manila folder. For each entry, include two completed entry forms.
Photojournalism entries must have been published during contest period. Include a written caption and an explanation of the circumstances surrounding the image.
Two completed entry forms must accompany each entry with one attached to the back of the entry. Mounting is no longer required. If you choose to mount images, please limit size to 20 x 30 inches.
Division A Circulation of 25,000 or more Division B Circulation of 7,000 to 24,999 Division C Circulation of less than 7,000 Place each entry into a labeled folder with 2 copies of entry form.
General 45. Investigative reporting/individual: An article, package or series of stories on one topic that demonstrates exceptional investigative effort. One byline only. 46. Investigative reporting/team (two or more writers): An article or a package or series of stories, on one topic, that demonstrates exceptional investigative effort. 47. In-depth enterprise reporting/individual: An article, package or series, on one topic, that demonstrates a considerable in-depth reporting effort and is not considered an investigative piece. 48. In-depth enterprise reporting/team (two or more writers): An article, package or series of stories, on one topic, that demonstrates a considerable in-depth reporting effort and is not considered an investigative piece. 49. Political/governmental reporting: Coverage of city, county, state or federal government. Can be an article or package on one topic. Supplemental stories to help judges understand the topic may be included if clearly marked as such. No more than three bylines. 50. Spot news: First-day coverage of a breaking hard-news event. Sidebars may be included. 51. Feature writing: Single story or package of a topical nature. No more than two bylines. 52. Personal column: A single column on any topic by an individual. 53. Editorial/commentary: A single piece on a single topic by an individual. 54. General news reporting: A single story on a single topic. Sidebars may be included. No more than two bylines. 55. Special projects: A tabloid or special section produced by a newspaper staff. Include letter explaining the project. 56. Criminal justice reporting: Coverage of any police or crime topic, including court reporting. Sidebars may be included. No more than two bylines. 57. Diversity: An article, package or series of stories on a topic relating to minority communities. No more than two bylines.
Business 58. Education reporting: An article, package or series on an education issue. No more than two bylines. 59. Health reporting: An article, package or series on health and medicine. No more than two bylines. 60. Science, technology and environmental reporting: An article, package or series on science, technology or the environment. No more than two bylines. 61. Business reporting: An article, package or series. Includes business news or features. No more than two bylines. 62. Business feature: Single story or package of a topical nature. No more than two bylines.
Entertainment 63. Entertainment feature: This category includes personality profiles. Submit a single story. No more than two bylines. 64. Arts criticism: Submit three reviews by one person on theater, movies, music, books or related topic. 65. Leisure writing: A single story on food, travel, fashion or related topic.
Sports 66. Sports reporting: Single story and sidebars. No more than two bylines. 67. Sports features: Single story and sidebars. This includes profiles. No more than two bylines. 68. Sports column: A single sports column by an individual.
Photojournalism 69. Feature photography: A single image where the presentation of the photographer has enhanced the original subject matter. 70. Sports photography: A single image on a sports subject or in reaction to a sports event or subject. 71. General photography: A single image. 72. Story/photo essay: A group of images relating to any one topic. 73. Spot news: A single image of a breaking-news event. 74. Best photographic portfolio: Five images by one photographer that were published within the contest period. Judges will determine an all-around best photographer based on photographic skills of composition, technical expertise and overall excellence.
Overall 75. Page one layout and design: Submit front pages of one edition. 76. Feature page layout and design: One page per entry. 77. Headlines: For each entry, submit three headlines written by one person. Please include related stories. 78. Use of graphic illustration: Originally produced graphics by an individual. Include accompanying story. 79. Best newspaper reporting portfolio: Submit five newspaper stories by one reporter that were published within the contest period. Judges will determine an all-around best reporter based on the reporter�s skills of information-gathering, writing style and clarity of reporting. 80. Best newspaper: Submit two entire newspaper editions that were produced within the contest period.
SPECIAL AWARD NOMINATIONS
Write your nominee's name in the appropriate place on the entry form on the reverse. Include the entry form and letter inside a manila envelope. There is no entry fee for these nominations.
Carter Bradley First Amendment Award Nominate a journalist, group or news organization for exceptional service to protect the First Amendment. The Oklahoma SPJ Board of Directors will select the final honoree(s). Use nomination form on back page. Please enclose a letter explaining the project and why the nominee(s) is/are deserving of special recognition.
Lifetime Achievement Award Nominate a journalist for commitment and service to the field of journalism. The Oklahoma SPJ Board of Directors will select the honoree. Use nomination form on back page. Include a short letter explaining why the nominee is deserving of special recognition.
Teacher of the Year Nominate a teacher -- whether at a college/university or middle, junior high, or high school -- for distinguished service to journalism education. Use nomination form on back page. Include a short letter explaining why the nominee is deserving of special recognition.
IMPORTANT THINGS TO REMEMBER
1. Postmark entries by October 7th to receive the early bird discount. 2. Make sure you send entries to the new address. 3. Include two copies of each entry form (as 8 1/2� x 11�) with each entry. 4. Radio & TV CDs/DVDs must be in paper cases�no hard cases. 5. You do not have to include business cards with entries. 6. Make sure all entries are legible. 7. Confirm that work is being entered into the correct categories. 8. Place each entry and two copies of the entry form into a folder with the category name and number written on the tab. 9. Make sure you�ve included your master list of all entries.

ELIGIBILITY: Entries may be submitted by employers or by individuals working full-time, part-time or on a freelance basis. Student entries are encouraged. Membership in SPJ is not required to enter. CONTEST PERIOD: Submitted entries must have been published or broadcast between July 1, 2008 and June 30, 2009. Entries outside the contest period will be discarded without notice or refund. ENTRY FEES: $15 per entry postmarked on or prior to October 7, 2009. After that, $20 per entry until October 16, 2009. No entries will be accepted after October 16, 2009. Entries must be accompanied by a check, money order or purchase order made out to Oklahoma SPJ. ENTRY GUIDELINES: Follow directions carefully. Each entry must have two (2) copies of the completed entry form. There is NO limit on the number of entries that may be submitted. Entries will not be returned. English entries only. JUDGING: Entries will be judged on overall excellence, service to the community and contribution to the public�s understanding of issues and events. Criteria also may include readability, accuracy and completeness as well as depth of research, quality of presentation and difficulty in obtaining information.
Winners may be named for first, second, third place and honorable mention. Members of professional SPJ chapters in other states will judge entries. If, in the opinion of the judges, none of the entries in a particular category meet the standards of excellence, no award will be given. Judges may award any place to an entry based on merit. Judges� decisions are final.

CONTEST ENTRY GUIDELINES
* Place each entry in a manila folder with two (2) copies of the entry form. * On the tab of the folder, clearly write the name and number of the category. * Each entry form must be an 8 1/2 x 11 inch sheet. Please do not cut down the form. * You do not need to include business cards with your entries this year. * Complete and include a master list with all of your entries. Make copies if you have more than the alloted space. * In your package, make sure you include the entries with entry forms clearly filled out, a master list, and payment/purchase order. * Make sure you send your entries to the NEW mailing address.
FOR PRINT ENTRIES:
Publication name and date must appear on all print entry tearsheets. Please do not send word files or other print-outs. Judges must be able to identify that the entry is as it appeared in the publication.
FOR TV & RADIO ENTRIES:
Entries submitted on CD or DVD must be placed inside a paper case. Please so not send any hard cases.
